Q: Where is candidate data stored?
Answer: Candidate data initially remains on People Data Labs' (PDL) servers and is only accessed when you search for or view a specific person. At this stage, no information is stored within our platform.
Q: When does candidate data become part of my account?
Answer: Data becomes part of your account when you create and launch a campaign. Once you select leads from PDL to include in a campaign and that campaign goes live, those records are stored in our platform and tagged as PDL-sourced.
Q: How do recipients know where their data came from?
Answer: For PDL-sourced leads, every email includes a footer that clearly identifies PDL as the data source. This footer also provides direct links to PDL's opt-out and Do Not Sell pages, ensuring full transparency. Leads sourced from your own CRM receive a standard unsubscribe link only, without data-source attribution.
Q: Can recipients opt out or request their data be deleted?
Answer: Yes - every email includes an unsubscribe link. When a recipient clicks this link, they are blocked from receiving further emails from your company. If the lead came from PDL, they are also added to a platform-wide suppression list, preventing emails from any company using our platform. The opt-out is automatically synchronised back to your Vincere CRM where an active integration exists.
Additionally, the PDL footer includes a direct link to PDL's privacy portal, allowing recipients to exercise their deletion rights with PDL separately.
Q: How does the CRM sync feature work?
Answer: The sync feature creates or updates a real record directly in Vincere. Once synchronised, that record exists independently within your Vincere account. The only ongoing synchronisation is opt-out status, which continues to update as described above. There is no live bidirectional sync beyond opt-out management.
Q: If someone deletes their data from PDL, is it automatically removed from our platform?
Answer: No, not automatically. PDL does not push deletion events to downstream platforms. Once a record has been imported into our platform, it exists independently. However, if someone unsubscribes via an email you've sent, they are suppressed globally across our entire platform.
Q: Does PDL notify candidates that we hold their data?
This falls outside the scope of our platform. Whether PDL discloses downstream data recipients to privacy services or candidates depends entirely on PDL's own policies and legal obligations. However, we ensure transparency by providing a direct link to PDL's privacy portal in every email sent to PDL-sourced leads, giving recipients a clear pathway to exercise their rights with PDL directly.
