New to Access Automate Outreach? This article explains how it fits alongside your CRM - what each system is for, how they connect, and which one to use for which tasks.

The Short Answer

Your CRM (such as Vincere or Bullhorn) is your system of record - it stores your candidates, contacts, and their history. Access Automate Outreach is your outreach engine - it runs the multi-channel campaigns that engage those people and brings new ones in. The two systems are designed to work together, not replace each other.

How the Two Systems Work Together

Access Automate Outreach connects to your CRM via an integration. Once connected, the data flows in both directions:

CRM to Access Automate Outreach

Your existing CRM records become the audience for your campaigns. You can build a campaign targeting candidates or contacts who match specific criteria — status, last activity date, skills, industry, and more. The platform reads this data from your CRM when you create a campaign.

Access Automate Outreach to CRM

When outreach generates results — accepted LinkedIn connections, replies, or enriched contact details — that data can be pushed back into your CRM. New contacts discovered through outreach or PDL enrichment can be created as new records, and enriched email addresses or phone numbers can update existing ones.

Email activity from automation steps is also logged back to the CRM record automatically, so Last sent email date and activity history stay current.

📌 Note: Automations work on synced CRM data, not live CRM screens. Changes made directly in your CRM will be reflected in Outreach after the next sync.

🤔 FAQs

Q: Do I need a CRM to use Access Automate Outreach? A: A CRM connection is required to use CRM data as your campaign audience. However, you can also build campaigns using other data sources - Access DataVault (800M+ verified prospects), PDL enrichment, or a CSV data upload - without a CRM integration.

Q: Will changes I make in Access Automate Outreach automatically update my CRM? A: Yes, when CRM sync is configured. New records can be created in your CRM, and existing records can be updated with enriched data. Sync can be automatic (Auto Upload) or manual, depending on your configuration.

Q: Will my CRM hold the emails Access Automate Outreach sends? A: Email activity from automation steps is logged on the CRM record automatically. This updates the Last sent email date and appears in the contact or candidate's activity history.

Q: My CRM has an outreach feature already - do I need Access Automate Outreach? A: Yes, if you need multi-channel sequences across Email, SMS, LinkedIn, and Phone with built-in compliance, performance analytics, and access to external prospect data (Access DataVault, PDL). Most CRM outreach tools are single-channel and don't provide external prospect sourcing.
