Connecting ARCRM to Access Automate Outreach

Learn how to link your ARCRM (Access Recruitment CRM) database to Automate Outreach so you can pull candidate and contact lists directly into your outreach campaigns.

Link your ARCRM database to Automate Outreach so you can pull candidate and contact lists straight into your outreach campaigns - no exporting, no spreadsheets, no copy-pasting.

📌 Note: ARCRM is a recruitment CRM for high-volume agencies. Connecting it lets you use your existing ARCRM records as a data source when building a campaign prospect list.


Before you begin

Have the following ready. The connection itself takes only a couple of minutes once you have your credentials to hand.

Why you need it

Company Admin access

Integrations are configured at account level. Only a Company Admin can connect ARCRM - Members cannot. If you are a Member, ask your Company Admin to connect it for the team.

ARCRM API credentials

Contact the ARCRM Customer Support team and ask for help generating an API to integrate with Access Automate Outreach. They will provide three values: the API/Host URL, an Integrator Key, and an API Key.


Open the ARCRM integration

In the left sidebar, click Integrations. Under CRM Integration, find the ARCRM card and click it to open its connection page.


Enter your connection details

In the Connection Configuration panel, fill in the three fields, then click Connect.

API/Host URL

The address of your ARCRM API, specific to your ARCRM region - use the value for your own environment shared by the ARCRM Customer Support team.

Integrator Key

The integrator key issued by ARCRM (a UUID-style value).

API Key

The API key issued by ARCRM.

⚠️ Important: Enter each value exactly as issued — the API/Host URL, Integrator Key, and API Key are case-sensitive and must have no leading or trailing spaces. Your Integrator Key and API Key are sensitive credentials: treat them like passwords and do not share them. A mistyped value is the most common reason a connection fails.


Verify the connection

Return to the Integrations page. The ARCRM card now shows a green Connected badge, and ARCRM becomes selectable as a data source in the campaign wizard.


Use ARCRM data in a campaign

With ARCRM connected, you select it while creating a campaign. The wizard has five steps; ARCRM comes into play at Step 1 (choosing the source) and Step 2 (building the audience).

  1. On the Campaigns page, click Create Campaign.

  2. Campaign Basics: in the Data Source field, choose ARCRM.

  3. Target Audience: choose whether you are targeting Candidates or Contacts (clients), then narrow the selection using keyword and filter options.

  4. Preview the results and confirm the prospects you want to include.

  5. Complete the remaining steps (Sequence, Timing, Review), then click Activate.

🤓 Tip: Start with a focused, well-targeted ARCRM list rather than a broad one. Personalised outreach to 50 well-chosen prospects consistently outperforms generic outreach to 500.


What data is imported

When you pull records from ARCRM, the following fields flow into your campaign and can be used with merge tags to personalise your messages:

Compliance and consent

Because ARCRM records relate to real people, the same compliance rules apply as with any Automate Outreach data source:

  • Every email template must include the {{unsubscribeLink}} merge tag. Templates without it cannot be saved and published - this is a legal requirement under GDPR and CAN-SPAM.

  • Anyone on your Compliance Centre opt-out list is automatically excluded from campaigns, even if their record still exists in ARCRM.

⚠️ Important: GDPR reminder - under GDPR and UK GDPR you must honour opt-out requests immediately and permanently, and be able to demonstrate that you have done so. The Compliance Centre keeps a timestamped audit trail of opt-outs. If you are unsure whether a segment of your ARCRM database can be contacted for outreach, consult your organisation's data protection officer before launching.


Troubleshooting

Re-check each field. The most common causes are an incorrect API/Host URL, or a changed or revoked Integrator Key or API Key. Re-enter the correct values and click Connect again.

ARCRM is connected but doesn't appear as a data source

Confirm the ARCRM card shows Connected (not Disconnected) on the Integrations page. Try running a search in ARCRM with the same criteria. If the issue persists, contact the support team.

No candidates or contacts returned in the preview

Broaden your keyword and filter criteria on the Target Audience step. Very narrow filters can exclude everyone in the selected segment.


Disconnecting or reconnecting ARCRM

To change credentials, reopen the ARCRM integration page, update the API/Host URL, Integrator Key, or API Key, and click Connect again. Reconnecting is the quickest fix when credentials have been rotated by your ARCRM administrator.


❓Frequently asked questions

Q: Can I connect multiple ARCRM accounts?

Ans: Only one ARCRM connection is supported per Automate Outreach account. If you need to switch to a different ARCRM account, update the credentials on the ARCRM integration page and click Connect - the existing connection will be replaced.

Q: Who can set up or change the ARCRM integration?

Ans: Only Company Admins can connect, update, or disconnect ARCRM. Members cannot access the Integrations page. Once an Admin has connected ARCRM, all users - including Members - can select it as a data source when creating a campaign.

Q: Does connecting ARCRM import all my records automatically?

Ans: No. Connecting ARCRM gives Automate Outreach access to your database; it does not copy or sync records in bulk. Records are only pulled in when you build a campaign audience at the Target Audience step, using the keyword and filter criteria you choose at that point.

Q: What happens if my ARCRM credentials are rotated or expire?

Ans: The connection will stop working and ARCRM will no longer be available as a data source in the campaign wizard. Re-open the ARCRM integration page, enter your updated credentials, and click Connect to restore it.

Q: Can I use ARCRM alongside another data source in the same campaign?

Ans: No. Each campaign uses a single data source, chosen at the Campaign Basics step. If you need to reach people from both ARCRM and another source, run separate campaigns for each.

Q: Are opt-outs in the Compliance Centre respected when using ARCRM data?

Ans: Yes. Regardless of the data source, anyone on your Compliance Centre opt-out list is automatically excluded from all campaigns. This applies to ARCRM records in exactly the same way as any other prospect list.
